BECM Identity and Application Management for SOX - HRIS
Leverage FileNet P8 workflow to automate user identity management for new hires and
existing employees. Instead of submitting an email or help desk request that simply
tasks administrators to update user security and log their actions this solution
automates the process from request to completion. For example a new employees’ supervisor
can create a simple workflow request and request access to several software applications
or physical security access areas. The workflow request is then automatically received
by each application or security owner, reviewed and if approved the solution will
add the user to the active directory group which minimizes delays and ensures accuracy.
At the completion of the workflow request all approvals for application request are
collected and stored in FileNet.
The same solution performs scheduled security reports by user and by software application.
The software application report is sent to the application owner for review via
FileNet Workflow and recorded in the content management system.
BECM FileNet P8 Capacity Planning, Monitoring and Management
Easily track system growth, FileNet system performance and workflow. The CPMM application
collects document storage usage within FileNet and allows for reporting over date
intervals. Easily see peek hours, days or months and proactively manage FileNet
disk space storage. Workflow monitoring includes aging work items, component monitoring
and conductor queue automated notifications. The system administrators are notified
when components fail to process work items and receive the exception message for
all conductor work items via email without checking the P8 system.
Unlike other monitoring applications CPMM does not collect operating system metrics,
rather the program simulates actual user activity by exercising the FileNet APIs
on interval which is collected to a database. This information is then used to establish
baselines and hourly statistics. Now when users report a slow down you know at eight
in the morning queries run at 5 seconds are now 12 seconds which substantiates there
is in fact a problem with FileNet. Trend these queries over time and see system performance
over the work day. Now you have some numbers to work with and can see user load,
the impact of data accumulation on queries and user load.
BECM Workflow Archive Utility for FileNet P8
The workflow archive utility collects all information about a given FileNet workflow
prior to completion and stores this data as a document in FileNet. Data collected
includes the workflow map history, attachments, step names, step responses, all workflow
events and user actions. The document added to FileNet includes metadata fields
from the workflow and primary attachment(s) which is used to populate the new archived
document metadata. Following the system scheduled archive process event logs are
then pruned to ensure the event log tables do not become excessively large.
BECM FileID
FileID identifies document types and extensions using file header information. A
learning program that can be trained using example files or a list of known types
and header (hex codes) the program can accurately identify the file extension(s)
for a directory of files regardless of current or missing extensions with a high
degree of accuracy.
